5 Tips To Get the Best Price Possible for Catering

Updated: Feb 19

You can afford a caterer if you use these tips to get the best price- without haggling.

We all have special days in our life when we want time to stop and let the moment last forever. On those big days, you shouldn't have to be bothered with planning menus, shopping, and food prep for a large group of people. Your job is to be present and enjoy the moment without any mundane tasks. This is where your caterer comes in. A caterer is the best option for you to be stress-free when it comes to feeding your family or party guests.

Can I even afford a caterer? This may be the question that's at the forefront of your mind along with inflation and rising food costs. Luckily, we're here to tell you that you can! Here are five of our top tips you can use to get the best price when working with a caterer:

Tip #1 - Have an open mind (and menu)

When it comes to getting the best price possible, you should be willing to compromise on the smaller aspects, such as sides so that you can get the show-stopping items such as a quality cut of meat. Some compromises may include allowing the chef to curate side dishes using more affordable products that are in season (and fresher!). By doing this, the chef will have the opportunity to develop a one-of-a-kind menu for you without breaking the bank.

Tip #2 - Be Honest with your caterer

It is not wise to let your caterer believe that you are willing to spend more and back out at the last minute. There is no shame in telling your caterer exactly what your budget is and the limit that you will not go over. The company will help you by giving you all the menu options possible with the figure you have provided. You may even get a few freebies or extras just by being a cooperative and pleasant person to work with.

Tip #3 - Don't overdo it

Have you ever been to a catered event where they had lots of leftover food at the end of the night? Having an idea of how many people you are expecting at your event will be a great help when working with a caterer. You will be advised on the quantity of food to comfortably feed your crowd. A great way to get an accurate estimate of the number of people you're expecting is to allow guests to RSVP before the event.

Tip #4 - Quality is better than quantity

You may already know the saying "Quality is better than quantity", but when it comes to food, this saying is even more relevant. When trying to find an affordable caterer, the last thing you want to do is go with someone that is inexperienced.

A special event is not the time to skimp on quality! Do your research on the caterer to make sure it is someone with years of experience and good reviews before you decide to go with them. You don't want to make a decision you will regret, especially with something as vital as food.

Tip #5 - Buy or rent your own utensils

Some caterers will offer you add-ons such as serving and eating utensils if you don't have any at your venue. This can be at an added cost to you, which is often times higher than if you purchase them yourself. If you want to save a few extra dollars, consider picking up a few eating utensils from the dollar store or renting them from an event company.

If you'll be having a decorator for your event set-up, ask them if they provide dinnerware rentals along with the décor. You may be able to bundle the cost with your décor at a lower price!

Make Memories, Not Debt

At the end of the day, always remember that the moment you are planning for is priceless. With proper planning and communication, you will be able to look back on the day and smile, knowing you were able to execute it debt-free.
